Privacy notice: contact form and site assistant

How the details you leave in the contact form, and the records of your conversations with the site assistant, are collected and stored. This website does not use analytics tools.

Contact form

What do you collect?

Required: name, company, email, industry, needs and request type. Optional: phone, preferred contact method and message. We also record the time sent, the language and the page you came from.

Why do you collect it?

Purpose of collection: to be confirmed.

Where is it stored, and for how long?

It is stored in this website's database and included in database backups. Retention period: 180 days after it is sent, after which it is deleted automatically. Backup retention period: to be confirmed.

Who can see it?

Site administrators can view and delete it in the back office. New enquiries are also sent by email to company staff; recipients: to be confirmed.

Do you record my IP address?

It is not written to the database. The contact form and the site assistant use it only in the server's memory, to limit how often they can be used in a short time. For the site assistant's other uses, see below.

How can I have my data checked or deleted?

Contact us (contact: to be confirmed) with the email you used, and we will look it up and delete it in the back office. Handling of notification emails already sent and of backups: to be confirmed.

Site assistant

What does the site assistant keep?

Each conversation: what you type and the text recognised from your speech, the answers, the start and end times, and the pages you visited. No audio. What you say or type is kept as is, so avoid personal details.

Am I told before it starts?

Yes. Before the first start, the assistant explains the listening, the retention period and the bot check, and only begins after you press "Agree and start".

Does it keep my IP address?

No. Only a visitor code worked out from it is kept, and the code cannot be turned back into the address. When connecting, the website gives the address to the voice service to work out the code.

What else is my IP address used for?

To limit how often it can be used in a short time, and to tie a one-time connection pass to you (it only works from the same address). Both are held briefly in the server's memory and not written to the database.

Does it use Cloudflare?

Yes. Before you start, Cloudflare Turnstile runs in your browser to check for bots, collecting the information it needs and your IP address. It is handled under Cloudflare's privacy policy (to be confirmed).

Where are the records kept, and for how long?

In this website's database and its backups. Deleted automatically 30 days after the conversation ends; daily counts have no conversation content and are kept. Backup retention period: to be confirmed.

Who can see them? Where is it processed?

Site administrators can view and delete the records in the back office. Where speech recognition and answers are processed: to be confirmed.

How can I have a record deleted?

It does not ask for your name or contact details, but what you say or type is kept as is, so avoid personal details. To delete it, contact us (contact: to be confirmed) with the time and page (process: to be confirmed).
